At Hideout Cabins Private Limited (“Hideout Cabins”, “we”, “us”, “our”), we are committed to protecting the privacy and security of our guests’ personal information. Information We Collect

Information you give us when booking. To place and confirm a cabin reservation, we collect:

Your full name
Your phone number
Your email address
Your stay details, including check-in and check-out dates, cabin selected, and number of guests

Payment information. Advance payments are processed by our payment partner, PayHere (LankaPay / PayHere Digital Services). Your card number, CVV, and other full payment credentials are entered on PayHere’s secure systems and are not collected, seen, or stored by us. We receive only a transaction reference, the amount, the payment status, and, in some cases, the last four digits and card type for reconciliation purposes.

Information collected automatically. When you browse our website, we may automatically collect technical information such as your IP address, browser type, device type, operating system, referring page, and the pages you view. This is collected through cookies and similar technologies described below.

Information you give us voluntarily. This includes any special requests, dietary or accessibility notes, feedback, or messages you send us by phone, email, or through the website.

We do not knowingly collect more information than we need to serve your booking.

How We Use Your Information

We use the information we collect to:

Create, confirm, and manage your booking
Contact you about your reservation, including confirmations, reminders, changes, and check-in details
Process your advance payment and, where applicable, your refund
Verify your identity when you call our hotline to cancel or amend a booking
Respond to your questions, requests, and complaints
Meet our obligations as a registered accommodation provider in Sri Lanka, including any guest registration requirements
Maintain our own records, accounts, and internal reporting
Detect and prevent fraudulent bookings and misuse of our website
Improve the website and our services

Marketing. We will send you promotional emails about offers, seasonal rates, and news from Hideout Cabins only if you have chosen to opt in. Opting in is never a condition of making a booking. You can withdraw your consent at any time by clicking the unsubscribe link in any marketing email, or by calling or emailing us. Withdrawing marketing consent does not stop the operational messages we need to send you about a live booking.

How We Share Your Information

We do not sell, rent, or trade your personal information. We share it only in the following circumstances:

Payment processing. With PayHere, in order to take your advance payment and issue refunds. PayHere handles your data under its own privacy policy.
Service providers. With trusted providers who help us run the website and our operations, such as website hosting, booking software, and email delivery services. These providers may only process your information on our instructions and are required to keep it secure and confidential.
Legal and regulatory. Where we are required to disclose information by law, by a court, or by a competent authority in Sri Lanka, including tourism, police, or tax authorities, or where disclosure is necessary to protect our rights, property, or the safety of our guests and staff.
Business transfer. If our business or a part of it is sold, merged, or reorganised, your information may transfer to the new owner, who will remain bound by this policy.

Data Retention

We keep your booking and payment records for as long as necessary to serve your stay and for as long as we are required to keep financial and business records under Sri Lankan law. Marketing contact details are kept until you unsubscribe. Information we no longer need is deleted or anonymised.

Data Security

We use reasonable, industry-standard measures to protect your information from unauthorised access, alteration, disclosure, or destruction, including encrypted connections (HTTPS) on our website and restricted staff access to booking records. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

We use cookies and similar technologies to keep the website working correctly (for example, remembering your selected dates and cabin during the booking flow), to understand how visitors use the site, and to improve it.
